Registered Agent vs Business Mailing Address on Forms

Use the address type the form asks for. A registered agent receives legal service; a principal business address identifies the business location, and a mailing address identifies where mail should go.

Quick answer

Use the address type the form asks for. A registered agent receives legal service; a principal business address identifies the business location, and a mailing address identifies where mail should go.

✓ Key rules

  • Read whether the field requests a registered office, physical location or mailing address.
  • Do not assume your agent’s address is accepted by a bank or payment provider.
  • Keep a genuine suite or STE number exactly as documented.
  • Use a PO Box only where that specific mailing field permits it.

Address fields and postal order

An LLC formation form may ask separately for a registered agent and principal office. Registered-agent rules depend on the state, and the agent’s permission to receive legal notices does not establish that your business operates there. Check the jurisdiction’s official filing instructions and your service agreement.

  • Read whether the field requests a registered office, physical location or mailing address.
  • Do not assume your agent’s address is accepted by a bank or payment provider.

Checkout problems and exceptions

IRS SS-4 separates mailing address in lines 4a–4b from a different physical street address in lines 5a–5b; the physical field excludes PO Boxes. Banking, Stripe and vendor onboarding may require proof of operating address. Give the address supported by your records, label any separate mailing address correctly, and do not invent a suite to resemble a physical office.

  • Keep a genuine suite or STE number exactly as documented.
  • Use a PO Box only where that specific mailing field permits it.

❓ Frequently Asked Questions

Can I use the agent’s address as my company’s operating address?

Only if that use is factually accurate, authorized and accepted by the particular form and institution. Legal-service permission alone is insufficient.

Does adding STE make a mailbox a physical office?

No. A suite label does not change the nature of the premises. Use the documented address and disclose the address type when requested.
